My Dashboard

Purpose

The Dashboard is the home screen and central workspace of the IIS. It provides an up-to-date overview of patient activity and vaccination work in your facility and is used daily by nurses, vaccinators, and clinical staff.

At the very top, the breadcrumb line (e.g., Fuji Community Hospital / Dashboard) shows your current facility and location in the system.

What you can do from the Dashboard

  • See who is waiting for services (Waiting Room)

  • Quickly find patients anywhere in the IIS (Quick Search)

  • Start, manage, and close vaccination sessions (Vaccination Sessions)

  • Access profile and log out securely (User Profile Menu)

Think of it as your home base—it shows what’s happening right now in your clinic.

From the sidebar, click Dashboard to return to this home screen at any time.

Use the sidebar menus to move to other modules: Patients, My Clinic, and System.


Panels

🧑‍🤝‍🧑 Waiting Room

Shows all patients currently checked in at your clinic and their workflow status.

Workflow Filter Options

Filter
Meaning

Checked In

Patients who have arrived and are waiting for services.

Held for Observation

Patients who must remain under observation before discharge.

Awaiting IMCI Care

Waiting for Integrated Management of Childhood Illness services.

Awaiting Specialist Care

Waiting for referral/specialist services.

Awaiting Vaccination

Waiting specifically for vaccinations.

Released / Discharged

Completed care and left the clinic.

Use filters to triage quickly during busy clinics. Combine with Customize View to keep the most relevant lists visible.


🔍 Quick Search Patients

Search the national IIS for a patient by:

  • Patient’s name

  • Mother’s name (for newborns/children)

  • Address

  • Identification number

  • Telephone number

Use Scan if your facility uses barcode scanners, then click Search.

Enter any known details (e.g., Name, ID, or Phone).

Click Search to view matches; select the correct patient.

If no result is found, try an alternate identifier (e.g., Mother’s Name for infants/children).

Prevent duplicates


💉 Vaccination Sessions

Shows open sessions in your clinic.

From here you can:

  • Start a new session (fixed or outreach)

  • View details of an existing session without ending it

  • End Session to reconcile and return unused stock

Other features:

  • Search sessions by responsible staff

  • Use Previous / Next or page number to navigate multiple sessions

To start a session, click Start, choose type (fixed/outreach), set pathway and destination, then confirm.

To view a session, click View to see details without ending it.

To end a session, select End Session, reconcile doses used/remaining, and confirm return of unused stock.

End sessions the same day to keep stock and ledger accurate, especially before device handover or shift change.

Status & Profile Menu

Icon / Menu
Meaning

System Alerts

Important messages from the system, including errors and alerts.

Connection Status

Green = Online/connected Yellow = Online but can’t reach central server Red = Offline (tablet works fully offline; will sync later).

Sync Status

Spinning = syncing now Red dot = some data still pending (safe to continue; will upload automatically once online).

User Profile

Shows logged-in user; log out or update profile.

The tablet syncs automatically in the background when connected. No action is needed. If you’ve been offline, just stay logged in on the Dashboard for a few minutes and pending records will upload.


Quick Troubleshooting

No results in Quick Search? Try a different identifier (e.g., Mother’s Name or Phone), check spelling, or remove extra spaces.

Session won’t end? Verify all vaccinations are recorded and wastage is accounted for, then try again.

Offline (Red)? Work continues normally. Records are stored safely and will upload once back online.

  • Monitor patient flow (Waiting Room)

  • Perform quick patient searches

  • Manage vaccination sessions (start, view, end)

  • Navigate to other modules via the sidebar

  • Check system status and manage your profile

It provides a real-time view of your clinic so work stays organized, visible, and efficient.
