CJA1 – Tablet Readiness & Connectivity Check

Role: Clinic Staff, Clinic Manager / Nurse-in-Charge

Use when: Ensuring the clinic tablet is charged, connected, and synchronized before starting patient care — and that end-of-day synchronization sends all updates to the Central Data Repository (CDR).

These steps apply to Android tablets commonly used in Pacific clinics (for example, Samsung Galaxy Tab A9+ or similar). Menu names may vary slightly depending on the device model. Clinic Managers or Nurses-in-Charge perform readiness and synchronization checks, while Clinic Staff ensure the tablet remains connected during daily use.


1️⃣ Morning Readiness

  1. Wake the tablet and unlock it.

  2. Swipe down from the top of the screen to open the Quick Settings panel.

    • Tap the Wi-Fi icon to connect or verify signal strength.

    • Tap Bluetooth, Mobile Data, or Location if needed for your clinic setup.

    • The circular arrow icon shows synchronization or refresh options.

  3. Check the battery level (aim for ≥ 50%).

  4. Tap the ⚙️ Settings gear to adjust Date & Time → Automatic, if needed.

The Quick Settings panel gives access to essential controls without opening full Settings. If you don’t see all icons, swipe left or down again to expand.

These three buttons appear at the bottom of the screen:

Back – return to the previous screen ◯ Home – return to the home screen ≡ Recents – switch between open apps

If you can’t find the buttons, swipe up from the bottom — they may hide automatically.


2️⃣ First Login

  • Open the SanteIMS (IIS) app.

  • Enter your Username and Password (enter MFA code if enabled).

  • Wait for the app to auto-sync — this happens automatically at login.

  1. When synchronization completes, the Alerts confirm your tablet is online and ready for use.

After the first online login, the IIS works offline all day. It can be resynchronized the next time you’re online.

3️⃣ Manual Sync (Anytime)

If you’ve been offline or want to confirm that data has uploaded:

  1. Tap the menu icon ☰ → System → Synchronization Center.

  2. Review your queues:

    • Outbox – data waiting to send

    • Inbox – updates to receive

    • Admin – background tasks

    • Conflicts – records needing review

  3. Tap Synchronize Now.

  4. Wait for the banner message confirming that synchronization is complete and data services are restored.

When synchronization finishes, you’ll see an Alert in the menu. Tap the bell icon 🔔 → Alerts to confirm it’s complete.

4️⃣ If You Can’t Connect or Sync

Problem
What to Try

Wi-Fi connected but app says “Offline”

Toggle Wi-Fi off and on

Time wrong

Enable Automatic date & time

Sync stuck or failed

Tap Synchronize Now again

App frozen

Restart the tablet

Still failing

Notify your Clinic Manager or System Administrator

5️⃣ Ready to Start When

  • Battery ≥ 50%

  • The facility name on the dashboard is correct

  • No Conflicts in Synchronization Status

  • You can open Patients from the main menu

🌙 End-of-Day Procedures

  • Before leaving the clinic:

  1. Connect to Wi-Fi or a stable mobile data connection.

  2. Open System → Synchronization Center.

  3. Tap Synchronize Now to upload any pending data.

  4. Confirm that no conflicts or pending items remain after synchronization.

  5. Notify your System Administrator if synchronization does not complete successfully.

  6. Plug the tablet in to charge overnight.
