CJA2 - Login & User Profile Setup
Role: Clinic Staff, Clinic Managers / Nurses-in-Charge
Use when: Authorized staff need to sign in securely and ensure their profile, MFA, and recovery settings are configured correctly before clinical use.
1️⃣ Open the Clinical Portal
Launch SanteIMS Clinical Portal.
Confirm the Realm / Environment / Facility shown on the login page.
If incorrect → tap Change Environment to select the right realm and facility.
2️⃣ Enter Credentials and Login
Enter Username and Password.
Tap Login.
Wait for the spinning icon while credentials are verified.
✅ Successful Login
Redirected to My Dashboard
❌ Failed Login
Error message appears
The same error appears whether the username, password, or both are incorrect — always double-check your entry.
3️⃣ Multi-Factor Authentication (MFA)
If enabled, the IIS will prompt for an MFA Code after you log in.
MFA codes refresh every 30 seconds. If the code expires, wait for the next one.
4️⃣ Forgot Password
If you can’t remember your password, click Forgot Password on the login screen.
If online: A reset link is sent to your email.
If offline: You’ll be asked your security question (set in your profile).
If you don’t know your username, contact your administrator. Passwords can’t be reset without it.
⚠️ Login Troubleshooting:
Caps Lock/keyboard layout: Retype password carefully.
Clock out of sync (MFA): Enable Automatic Time on your device.
No MFA prompt/spinner stuck: Refresh the page and retry.
Too many failed attempts: Wait or contact admin.
Language selector: Use the top-right dropdown before logging in.
5️⃣ Access “My Profile”
From the dashboard, tap your profile name to go to My Profile.
Four panels display: Public Profile, Security Controls, Preferences, and Digital ID.
6️⃣ Update Profile Panels
Public Profile
Edit name, facility, email, language, and address.
Click Save.
Security Controls
Update security email & phone.
Set password recovery questions and enable MFA.
New users must set password recovery questions immediately after onboarding to enable offline resets.
Preferences
Choose Help Display mode (Default / Training / Off).
Switch between Light ↔ Dark themes.
Digital ID
View your personal QR code for a digital signature inside IIS.
Never share your Digital ID outside the system.

Realm / Facility must match your assignment.
Use Training Realm for practice only.
Lock the tablet when unattended.
If the MFA device is lost, contact the admin to reset the MFA.
Regularly verify Sync Center queues = 0 / 0.
