Synchronization Center

Purpose

The Synchronization Center is where you confirm that all work recorded on your tablet has been successfully shared with the central IIS. It helps you verify that no data is left waiting to send, that your device is receiving the latest updates, and that any failed messages are quickly corrected. By checking this screen regularly, you ensure your clinic’s records remain safe and consistent — even when working offline or during network interruptions.


Accessing the Synchronization Center

You can open the Synchronization Center at any time by tapping the Sync icon in the top navigation bar.

Tap the circular arrow icon in the top bar to open the Synchronization Center.

On most devices, this icon is visible beside your Wi-Fi indicator. Some users may also find the same screen under System → Synchronization Center in the side menu. Both paths open the same dashboard view.


Overview

When opened, the Synchronization Center displays four queue cards at the top — Outbox, Inbox, Admin, and Conflicts — followed by a detailed synchronization log.

The dashboard shows current queue counts and the synchronization log below.

Each card provides a live count of how many records are waiting to move between your tablet and the central system. The Outbox lists records that are ready to send, such as newly registered patients or completed visits. The Inbox shows data waiting to download from the server, including updated patient or vaccine information. The Admin Queue handles system messages that require no user action, while the Conflicts card appears if a record was changed on both the tablet and the server and needs manual review.

Below these cards, the Synchronization Log lists each type of record and the last time it successfully synchronized. This table helps confirm that key data — like patients, visits, and stock — is up to date.

When all queue counts show 0 and recent timestamps appear in the log, your tablet is fully synchronized and ready for use.


How to Use the Synchronization Center

1️⃣ Check the Queues

Start by reviewing the four queue cards. If both Outbox and Conflicts show zero, no action is required — your tablet is already up to date. If any card displays a number, it means there are messages still waiting to send or receive. A brief delay is normal after completing large batches of work, but if the number remains unchanged for several minutes, continue to the next step.

2️⃣ Send and Receive Data

Tap Synchronize Now to begin manual synchronization. This action pushes all unsent records from your Outbox to the clinic server and pulls any new data from the central system into your tablet. Depending on your internet speed and the number of updates pending, this process may take a few moments. Wait until the progress bar completes and all queue counts return to zero before closing the screen.

3️⃣ Review the Synchronization Log

After synchronization finishes, scroll down to the log section. Each row shows a specific data type, such as Patients, Visits, Stock Transactions, or Configuration Settings, along with the time it last synchronized. Confirm that the timestamps are recent — ideally matching the current day and time. If timestamps are missing or appear outdated, check your Wi-Fi connection and tap Synchronize Now again to repeat the process.

Most synchronizations happen automatically in the background, but performing a manual check at the start and end of each day helps prevent data from being left unsent.


Retrying Failed Messages

If synchronization errors occur — for example, due to a weak connection or duplicate record — the system will flag those entries as conflicted. To retry them, simply tap Re-Queue Conflicted. A confirmation message will appear asking you to proceed.

Select OK to continue, and the system will automatically attempt to resend any failed messages. This feature allows you to fix most synchronization problems without needing technical support.


Advanced Tools

At the bottom of the screen are two optional tools used mainly by Clinical Managers and Administrators.

‘Count Remotes’ checks for new data waiting on the server. ‘Reset All’ clears local synchronization logs.

The Count Remotes button performs a quick scan of the central server and reports whether any new data is available to download. This can be useful before starting a busy clinic day to confirm that your tablet already holds the latest information.

The Reset All button clears local synchronization markers without deleting any data. It is intended for troubleshooting situations where the queues remain stuck despite several retry attempts. If you select this option, a confirmation message will appear.

When to Check

The Synchronization Center should be reviewed at least twice daily — once in the morning before opening the clinic, and again at the end of the day before closing. It is also recommended to check the screen after any power outage, device restart, or extended period without internet. Always verify that the Outbox and Conflicts queues are clear before performing software updates or backups. If you notice old timestamps or persistent queue counts, repeat synchronization and confirm connectivity.


Troubleshooting

If synchronization does not complete, check your network connection first. A weak or intermittent signal may prevent messages from sending. Tap Synchronize Now again to retry. If the issue continues, open System → Background Jobs and confirm that the synchronization task is marked as Running or Complete. When problems persist after multiple attempts, take screenshots of the dashboard and log, and submit a report using System → Submit a Bug.


Summary

The Synchronization Center keeps your clinic’s tablet aligned with the national IIS. Check it daily to confirm that queues are clear and synchronization timestamps are current. If messages fail, use the Re-Queue Conflicted option to retry, and only perform a Reset All if advised. Regular checks ensure uninterrupted data flow, accurate reporting, and safe patient records across all facilities.
