Waiting Room

Purpose

The Clinic Waiting Room module manages patients who have arrived at the facility and are waiting for services. It provides staff with a real-time view of patient flow, ensures services are tracked, and allows quick actions such as starting, ending, or cancelling visits.

Open Waiting Room

From the sidebar, expand My Clinic and select Waiting Room.


Waiting Room Dashboard

  • Displays all patients currently waiting at the clinic

  • Provides quick access to start, continue, or end visits


Screen Features

  • Workflow Filter options → filter patients by visit status. Examples include:

    • Checked In – patient has arrived but not yet assigned

    • Held for Observation – patient under observation, not yet discharged

    • Awaiting IMCI Care – waiting for Integrated Management of Childhood Illness services

    • Awaiting Specialist Care – waiting to be seen by a specialist

    • Awaiting Vaccination – ready for immunization

    • Released / Discharged – visit completed

Status tags may differ by facility or national policy. Each site can configure additional or custom waiting room options beyond the examples shown here.

  • Type Filter → Limit the view by service type (e.g., Pediatric Care)

  • Search Bar → Enter patient name or identifier to quickly locate an individual


Patient Panels

Each patient is displayed as a panel, showing:

  • Patient name and caregiver (if applicable)

  • Visit type (e.g., Routine Vaccination, Pediatric Care)

  • Services due (e.g., vaccines, weight, length)

  • Status tags (e.g., Held for Observation, Awaiting Vaccination)


Action Buttons

Cancel

  • Cancels the visit and removes the patient from the Waiting Room

  • Prompts a confirmation: “Are you sure you want to cancel this visit?”

  • Staff must select OK or Cancel


End Visit

Opens a confirmation page that validates services and records discharge reason.

Actions Performed During Visit

  • Lists all vaccines, measurements, and services scheduled

  • Staff check off items that were performed; leave uncompleted items unchecked

Detected Problems

  • Issues (e.g., abnormally low weight) are flagged in yellow boxes

  • Staff must address problems before discharging

Discharge Reason

Mandatory field — options may include (examples):

  • Admitted as inpatient

  • Died

  • Discharged to home/self-care

  • Left against medical advice

  • Transferred to another facility/institution

Finalize

  • Cancel → Return to Waiting Room without ending visit

  • End Visit → Finalize, remove patient panel, and record discharge details
