Ending a Stock Session
Purpose
Ending a vaccination session ensures all stock movements are reconciled. Staff must record the actual number of doses used, wasted, or returned to storage.
This step provides accountability, maintains accurate stock balances, and finalizes the session record for reporting.
Navigation
You can end a session from two places:
From the sidebar, go to My Clinic → Sessions.
From the Dashboard → Vaccination Sessions panel. 
Steps to End a Session
Select End Session
On the Vaccination Sessions panel, locate the session to close.
Click End Session.

Record Doses Used and Wastage Staff must account for every dose issued. For each lot, complete:
Issued – Total doses issued at session start (read-only)
Used – Doses administered
Adjusted – Any changes logged during the session
Remain – Doses not yet accounted for
Return – Doses safely returned to stock
Discard – Wasted doses (e.g., open vials, spoiled stock)

Some vaccines (e.g., BCG) cannot be returned to stock. The system will display a warning and these doses must be discarded.

Record VVM Status For each lot, select the Vaccine Vial Monitor (VVM) stage:
VVM I or II → Safe to use
VVM III → Nearing discard point
VVM IV → Unsafe, must be discarded
Lots at VVM IV cannot be returned.
Reconcile Stock
Verify balances against doses issued
The system checks: Used + Returned + Discarded = Issued
If numbers don’t reconcile, adjust before proceeding
Unbalanced rows are highlighted for correction

If totals do not reconcile, the system shows Overdosing Condition Detected: 
Staff must review vaccination records, or adjust Return/Discard values until balanced.
System Suggestions
Shown with a blue robot icon
Based on stock issued, VVM status, and vial rules
Staff must verify and confirm suggestions before saving

Confirm and Close
All fields are required to continue
Click Cancel to exit without ending the session
Click Save to finalize the session
Once saved, the session is closed and removed from the session menu and dashboard.

Key Notes
End Session and stock return must be completed on the same day
Delays may cause stock discrepancies and inaccurate reporting
Summary
The End Session function ensures:
All issued doses are accounted for (used, returned, or discarded)
VVM status is recorded for each lot
Balances reconcile correctly for reporting and audit purposes
Sessions are closed and locked, preventing further changes
By ending sessions promptly and accurately, clinics maintain both vaccine accountability and system integrity.
