Viewing the Stock Ledger

Purpose

The Stock Ledger in Stock Management provides a complete record of every adjustment made to vaccine or supply stock at the facility level. This includes counts, wastage, obsolete items, and transfers, ensuring full traceability and accountability for stock movements within the facility.

1

Open Stock Management

From the sidebar, expand My Clinic and select Stock Management.

2

Select a Store

Choose the specific store (e.g., Mini Cooler, Cold Box, Vaccine Flask) and click View.

3

Open Stock Ledger

Click the Stock Ledger tab to view the full audit log for the container.

Features

  • Adjustment Type → Indicates whether stock was added (+) or removed (–)

  • Sequence & Timestamp → Each entry is logged with a sequence number and exact date/time for chronological tracking

  • Material & Lot # → Identifies the vaccine or supply item, including lot/batch number

  • Adjustment Reason → Explains why the change was made, for example:

    • Physical Count → e.g., freezer shows 55 doses but only 50 are found → adjustment of –5

    • General Wastage → e.g., 2 vials broken during transport

    • Obsolete → e.g., batch expired and removed from stock

    • Stock Transfer → e.g., 20 doses sent to another facility

  • Adjustment Quantity & Balance → Shows how much stock was added or removed and the resulting balance

  • Filtering → Filter by Material or Adjustment Reason to narrow results

  • Search → Use the search bar to quickly locate records by name, lot number, type, or reason

Key Notes

Difference Between Ledgers

  • Stock Ledger (Stock Management) → Shows all adjustments made at the facility/store level (counts, wastage, obsoletes, transfers).

  • Session Ledger → Only records stock movements within a vaccination session (issued, returned, adjusted).

Together they provide full traceability:

  • Stock Ledger = Facility view

  • Session Ledger = Session view

Summary

The Stock Ledger provides:

  • A permanent audit trail of all stock adjustments at the facility level

  • Detailed tracking of who, what, when, and why for each change

  • Filtering and search tools to quickly locate entries

  • Confidence in traceability and accountability for vaccine and supply management

By reviewing the ledger regularly, clinics maintain accurate, transparent, and audit-ready records.
