Viewing Stock Ledger

Purpose

The Session Ledger is the permanent record of every stock movement during a vaccination session. It shows when stock was issued, adjusted, or returned, by whom, and in what quantity.

The Session Plan is designed to show the vaccines and stock allocations expected for the session, based on registered patients and their vaccine schedules. It will help staff anticipate demand and compare planned versus actual usage.


Steps

Open Sessions

From the sidebar, go to My Clinic and select Sessions.

Access a Session

Locate your active session and click View.

Review Session Plan (Future Feature)

Open the Session Plan tab.

The Session Plan will:

  • Display patients scheduled for the clinic

  • List vaccines due based on their immunization schedules

  • Generate a planned stock allocation (e.g., 12 Penta, 4 HPV, 2 Td)

  • Allow comparison of planned vs. actual stock usage once the session is complete

Currently, this feature is not yet active (TBD).

Open the Session Ledger

Select the Session Ledger tab at the top of the screen.

Review Ledger Table

The ledger lists all stock movements, including:

  • Date/Time

  • Lot # / Material

  • Adjustment Reason

  • Adjustment Quantity

  • Balance

This table is read-only and cannot be edited.

Use Filters

Refine your review with filters and search:

  • Material Filter → Narrow to a specific vaccine or lot

  • Adjustment Reason Filter → Show only selected actions (e.g., Broken/Damaged, Returned from Session)

  • Search Bar → Quickly find entries by product name, lot number, or type

The Session Plan (future feature) will help staff prepare vaccines based on registered patients and expected demand. The Session Ledger provides:

  • A complete audit trail of vaccine stock during sessions

  • Transparency on who did what and when

  • Filters for easy review of stock activity

  • A permanent record that cannot be altered

Together, these functions support both forecasting and accountability in vaccine handling.
